Open Enrollment Communication (Ask The Expert - Business First)

Q:  My Open Enrollment for benefits is coming up and there are changes this year. How can I ensure that the changes are communicated effectively?


A:  As you know, Open Enrollment is the time to make changes to your employee benefit offering. With the increasing costs of healthcare, many employers have made changes to their offering by increasing copays, introducing high deductible health plans, realigning their contribution, etc. The word change itself can excite employees and be received as negative. To ensure that open enrollment is positive and successful, effective communication is a must.Some important aspects of a successful communication plan include:


• Involve your benefit consultant. His/her delivery of the message may be better received

than directly from management. He/she can also share information on what is happening

in the market. It is important that employees understand the trends in the marketplace and

why costs are increasing as much as they are.


• Make meetings mandatory even if they are not electing benefits. You only get one

opportunity to convey this important message. If possible, provide night meetings to allow

spouses to attend.


• Allow employees adequate time to review the materials and consult with family members in

order to make informed decisions.

overview of the benefit offerings to enable them to make informed decisions. It is also your
